Unable to File Tax Packages: Error Decoder

This article explains some errors that prevent us from filing tax packages - and provides steps to resolve them so we can file your returns.

OVERVIEW

If you have received an error that a tax package was unable to be filed for a specific quarter and would like to learn more, review the below for a list of the most common errors and the required steps to resolve this issue. In most cases you will have to reach our directly to the jurisdiction for resolution before contacting Namely.

NAMELY CREDENTIALS

Namely was unable to file because of insufficient rights with the jurisdiction.

Third Party Access incomplete

  1. Contact the tax agency to provide Namely third-party authority to file with the state.

  2. Once you have provided access, you may choose to have Namely to refile the affected quarter.

Note: Additional fees may apply due to late filing and additional labor.

 

ACCOUNT STATUS

Namely was unable to file because the Account Number in Namely Payroll was not eligible with the jurisdiction.

Invalid or Inactive Account Number

In some cases the state jurisdiction's filing error does not differentiate between an Invalid or Inactive account number.

  1. Contact the tax agency to resolve the issue.

  2. Submit a case in the Help Community to inform us when it has been resolved so we can file on your behalf in this jurisdiction for next quarter.

Inactive Account

If your account has been closed in error, contact the state using the contact information on their website to have it reopened.

If we no longer need to file with that jurisdiction, enter an end date for the tax type in Namely Payroll and submit a case in the Help Community (Product Name: 
Payroll and Subject: QX 2020 Tax Filing).

Invalid Account Number

  1. Contact the tax agency to confirm the correct Account Number.

  2. Update the Account Number in Namely Payroll as needed.

  3. Submit a case in the Help Community to inform us when the issue has been resolved so we can file on your behalf in this jurisdiction for next quarter.

Account Registration Incomplete

  1. Contact the tax agency to complete the account registration.

  2. Submit a case in the Help Community so we can file on your behalf in this jurisdiction for the next quarter.

No Account on File

  1. Contact the tax agency to resolve the issue.

  2. Submit a case in the Help Community to inform us when it has been resolved so we can file on your behalf in this jurisdiction for next quarter. If we no longer need to file with that jurisdiction, enter an end date for the tax type in Namely Payroll and submit a case within the Help Community (Product Name: Payroll and Subject: QX 2020 Tax Filing).

Invalid Frequency

  1. Contact the tax agency to confirm the correct Account Number.

  2. Update the Deposit / Payment Frequency in Namely Payroll as needed.

  3. Submit a case in the Help Community to inform us when the issue has been resolved so we can file on your behalf in this jurisdiction for next quarter.

Uncollected Tax Liability / Payment Issue

  1. Run the Payroll Summary Report for the quarter/year in question, and retrieve the Uncollected Tax amounts for the specific tax code.

  2. Remit the uncollected tax funds to Namely.

  3. Submit a case in the Help Community to indicate that you'll be sending in "uncollected tax" funds for specific tax codes, and request Namely to file the tax return in question.

JURISDICTION RECEIVED PREVIOUS FILING FOR THIS PERIOD

Namely was unable to file because the jurisdiction had already received a tax package for the quarter.

EMPLOYEE SOCIAL SECURITY ISSUE

Namely was unable to file for all or for specific employees due to an issue with employee Social Security numbers.

MISMATCH ACCOUNT NUMBERS

Namely was unable to file because Employer FEIN does not match with Employer account number.

FREQUENTLY ASKED QUESTIONS 

Why am I receiving Unable to File tax notices when I have already updated all of my tax information?
When filing for the most recent quarter, Namely actions the tax records as they appear in Namely Payroll. At the time of filing, there was a mismatch between the jurisdiction's records & Namely's. 

What is the latest date I can update tax information to ensure Namely can file?
In most cases, the deadline is the final week of the quarter.

Why are we being asked to provide an ID if we have no employees working in that state?
This occurs when the jurisdiction is active in your company's tax section within Namely Payroll or you have an employee coded for this tax.

How can I prevent getting communications like this in the future?
Review your company's tax setup within Namely payroll at least every quarter & ensure that the data is completely up to date.
